Privacy policy for the Access Issue Report and Respond service including it’s Google Form

This Privacy Policy outlines how we are handling your data for our Access Issue Report and Respond service.

We are collecting data to be able to provide you a service and to assist with data collection for research around assistance dogs. Your data is being processed on grounds of legitimate interest and explicit consent. For the report we are processing under legitimate interest as we can not alter data once it has been in a published report.

For sending out information packs we are processing under explicit consent for your data to be processed. Please be aware that if you wish to remove your consent after we delete your data inline with our retention policy (how long we will keep your data for), it will be impossible for us to let the third party (the service you want us to contact) know about your withdrawn consent as we will no longer have the required data to process that request. The information pack service is opt-in.

We are processing special category data which means that we have to take extra steps in data protection. This data is often called sensitive data and can only be processed in specific ways. For the purposes of this form we are processing special category data on two different grounds. For our legitimate interest purposes, we are processing the information on the grounds that its purpose is for archiving, research or statistical purposes. Where we process under explicit consent, our grounds for processing is explicit consent.

For our report section your information will be published as aggregate data in a public report. Your email address will not be shared as part of the public report. Any location details will be used as aggregate data for regions of the UK.

For our information pack section, the time, location and date of your access issue will be shared with the business or service provider you have asked us to contact with an information pack. Your email address will never be shared

We will store data for up to 2 months after a report is released. If a report is not released within 14 months of you giving us your data, your information will be deleted when those 14 months are up.
